Terms of Service

Unlike the Privacy Policy, which is the live text from the app, this page is a first draft written from what the product actually does. It has not been reviewed by a lawyer, and the clauses marked below depend on decisions that are still open. This page is excluded from search engines until it is finalised.

What OrderingFlow is

OrderingFlow is a stock-keeping and ordering tool for licensed trade operators. It records what you hold, works out what you need, and composes and sends purchase orders to distributors on your instruction. OrderingFlow does not sell, supply, broker or deliver alcohol, and is not a party to any order you place with a distributor.

Your account

You need an account to use the service. You are responsible for the accuracy of the information you enter, for keeping your sign-in credentials secure, and for everything done by staff accounts you create. Tell us promptly if you believe an account has been compromised. Account holders with admin rights can suspend or remove staff access at any time.

Orders sent on your behalf

When you dispatch an order, you authorise OrderingFlow to send it by email to the distributor addresses you configured, from or on behalf of your business. You are responsible for the contents of those orders, for the distributor details you enter, and for meeting your suppliers’ own terms — including account standing, order minimums and delivery windows. OrderingFlow warns you before sending an order below a minimum you have recorded, but the decision to send is yours.

Plans and billing

The Free plan lets you run the full count and build orders, but not dispatch them. Paid plans add order dispatching and the other features listed on the pricing page. Paid subscriptions are billed in advance per venue, per month or per venue, per year, renew automatically until cancelled, and can be cancelled at any time — cancellation takes effect at the end of the period already paid for. Prices exclude tax unless stated. Purchases made through a mobile app store are additionally governed by that store's terms.

Your data

Your inventory, vendors, locations and order history remain yours. We process them to run the service, as described in the Privacy Policy. You can add, edit and remove entries at any time, and you may request an export or deletion of your account data by contacting support.

Acceptable use

Don’t use OrderingFlow to break the law or your licence conditions, to send orders you are not authorised to place, to attempt to access another operator’s data, or to disrupt the service for others. We may suspend an account that does, and will tell you why where we are able to.

Availability and third parties

We aim to keep OrderingFlow available and correct, but it is provided as-is: we don’t guarantee uninterrupted service, and we don’t guarantee that an automated suggestion or a shelf-scan reading is accurate. Shelf scanning and reorder suggestions rely on Google’s AI services, and email delivery relies on third-party mail infrastructure. Always review an order before you send it — the counts and quantities are a starting point, not a decision.

Liability

To the extent the law allows, OrderingFlow is not liable for indirect or consequential loss, for lost profits or goodwill, or for losses arising from orders you chose to send, from stock decisions you made using the service, or from a distributor’s acts or omissions. Nothing here limits liability that cannot lawfully be limited.

Changes and governing law

We may update these terms; material changes will be notified in the app or by email, and continuing to use the service after that means you accept them. The governing law and the courts that hear any dispute are those of the operator’s place of business.
