Last 6 monthsThe way it works now
Sunday night, a clipboard, and a number you’re not sure about.
Every bar already has an ordering system. It’s a sheet of paper on a clipboard hanging on the wall, and it works, until it doesn’t.
- 01
You count in the wrong order
The sheet is alphabetical. The shelf is not. So you walk the bar three times and still miss the back row.
- 02
Typing out 4-5 texts or emails to all your vendors
It’s the end of the night and you’re sending orders to 4-5 different reps hoping they receive them.
- 03
Nobody knows the spend until the invoices land
Four distributors, four separate bills, and no single number for what the bar actually cost you last month.

How it works
Three steps, once a week.
Count what’s on the shelf, let the par levels turn that into an order, send it.
Walk the bar once
Counting is the job. Everything else is admin.
Each location keeps an order guide — your products stored in the physical order they sit on the shelf. Shelf-to-Sheet mode lists them in exactly that sequence, so you start at the well, work left to right, and type a number per bottle. No scrolling, no searching, no second lap. Rearranged the back bar? Drag the guide to match.
Or point the camera at the shelf and let the scan read the bottles back to you.

Par levels build the cart
You set the par levels once. The app does the rest.
Every product carries a par level — the number you never want to drop below. The app will suggest an amount to order to get you back to your par. The app suggests you order 10 bottles but you want to order a case of 12 instead to save money, no problem, just bump up your order to the case size.
Par is per-location, so the patio bar doesn’t reorder off the main bar’s numbers.

One send, every distributor
The part that used to be four phone calls.
The app splits the cart by vendor and emails each vendor their own order from your email address. Order minimums are checked before anything leaves, so you get the warning while you can still do something about it.
Every order is logged, so reports will answer “what did we order from ABCBev in June?”

What’s in it
Built for the way a bar actually runs.
Not a general-purpose stock system with liquor bolted on. Every screen assumes bottles, cases, pars, distributors and a bar that closes at 2am.
AI shelf scan
Point the phone at a shelf. It identifies the bottles and reads the counts back, so you confirm and correct instead of typing every line. The AI key stays server-side — it never ships in the app your staff install.

Every bar, separately
Main Bar, Service Well, Back Storage — or three venues across town. Each location holds its own stock, its own order guide and its own par levels, and reports roll the whole group up.
What the bar actually costs
Six months of order value, split by category and by distributor, updated the moment an order goes out. One number for the thing four separate invoices used to obscure.
Start from your spreadsheet
Import the product list you already keep — item, vendor, size, case size, par, price — and the catalogue builds itself.
Staff logins you control
Everyone signs in with their own account. Promote a manager, or revoke access the day someone leaves — the change is immediate.
Your distributors’ rules
Account numbers, contact addresses and order minimums live on the vendor. Orders are checked against them before they send.
On the floor
The count happens standing up.
Nobody counts a back bar sitting at a desk. OrderingFlow runs on a mobile app (iOS or Android) for the people doing the walking.
- Native camera, not a web upload
- The shelf scan opens the real camera with the real controls, so a count in a dim back room actually focuses.
- Built for one hand
- Count fields sit in thumb reach, sheets slide up from the bottom edge, and taps give haptic feedback — you’re holding a clipboard in the other hand.
- The same data as the desk
- Counts entered on the floor are on the manager’s screen before you’ve walked back to the office. One account, one database.

Questions
The things people ask first.
Still stuck on something? support@orderingflow.com reaches a person.
Do I have to re-key my whole inventory to get started?
No. Import a spreadsheet — item name, brand, category, size, case size, price, vendor and par level — and OrderingFlow builds your catalogue from it. Most venues are counting within an afternoon. You can also add products one at a time if your list is short.
What is Shelf-to-Sheet mode?
Every location gets an order guide: your products, saved in the physical order they sit on the shelf. In Shelf-to-Sheet mode the app lists them in exactly that sequence, so you walk the bar once, left to right, and enter counts without hunting for items. Reorder the items within a location any time you rearrange the liquor room.
How do orders actually reach my distributors?
On dispatch, OrderingFlow splits your cart by vendor and emails each distributor their own order — line items, sizes, case counts, your account number and the total — from your business address. Vendor order minimums are checked first, and you get a warning before anything goes out under the minimum.
What does the AI shelf scan do?
Point your phone at a shelf and it identifies the bottles and reads the counts back, so you can accept or correct them instead of typing every line. It runs server-side, so no AI key ever reaches your staff’s phones.
Can I run more than one bar?
Yes. Locations are first-class — Main Bar, Patio, Storage, or separate venues — each with its own stock, its own order guide and its own par levels. Reports roll up across all of them.
Who can see our data?
Each account gets its own isolated data, backed by row-level security in Supabase. Staff sign in with email and password, and an admin can block a login or revoke access the moment someone leaves.
Is there a mobile app?
Yes, OrderingFlow is meant to be used on a mobile device. We have an app in both the Apple App store and the Google Play store. We also have a website that works on any phone browser.
